What we hold about you, why we hold it, how long for, and what you can make us do about it.

Who is responsible for your data

The controller of your personal data is K I LOGISTICS LTD (company number 13356137), trading as Fast Fix Appliances. Every data question, request or complaint goes to one address: info@fastfixappliances.co.uk.

We are a mobile service with no premises open to the public, so we do not publish a postal address. Email is our contact channel for data matters and it is a valid one — it reaches the person who can act on it.

What we hold, and how long we hold it

Everything we collect is here. There is no other list, no hidden profile, and nothing is collected “just in case”.

What personal data we hold, our lawful basis, how long we keep it and what happens at the end of that period
DataLawful basisRetentionWhat happens at the end
Booking and job records — name, address, telephone number, email addressContract, Article 6(1)(b)24 months after the job is closedAnonymised: the name becomes “Former customer”, telephone and email are emptied, the address is reduced to the district. The job row and the money figures stay.
Invoices, invoice lines and paymentsLegal obligation — Companies Act and HMRC record-keeping6 years from the end of the accounting periodNever deleted automatically. Kept after a customer record is anonymised, with the details frozen exactly as they appeared on the issued invoice.
Photographs of the fault or the applianceContract, Article 6(1)(b)12 months after the job is closedThe image file is deleted and the database reference is emptied.
Marketing consent, and a record of what we sent youConsent, Article 6(1)(a)Until you withdraw itOne-click unsubscribe in every message. The consent timestamp is kept afterwards as proof the consent existed when we relied on it.
The body text of notifications we sent you — confirmations, reminders, quotesLegitimate interest — evidence if a job is later disputed12 monthsThe message text is purged. Only the metadata — what, when, which channel — is kept.
Audit log of actions taken in our admin systemLegitimate interest — security and accountability24 monthsThe row is deleted.
Login attempts, rate-limit counters, temporary slot holdsLegitimate interest — keeping the booking system secure and usable30 daysThe row is deleted.
Coverage misses — postcodes checked against our area that we do not coverLegitimate interest — no personal data is held here36 monthsKept only as an aggregate count per district.
IP addressesLegitimate interest — abuse prevention and analyticsNever stored in raw formOnly a salted hash is ever written, so there is no raw address to delete.

The clear-out runs automatically on a schedule. It is logged, so we can show what was removed and when.

Your rights

Seeing what we hold — a subject access request

Email info@fastfixappliances.co.uk and say you want a copy of your data. We send a link to verify it is really you, because handing your record to someone else would be the worse mistake. Once verified we assemble every row that references you — jobs, bookings, addresses, parts, invoices, notifications and your consent history — as a readable document and as a machine-readable file, available on a private link. We aim to answer well inside the one-month limit the law allows.

Having it erased

Ask and we will erase you. Your name becomes “Former customer”, your telephone number and email address are emptied, and your address is reduced to the postcode district.

One exception, and we would rather explain it than surprise you with it: invoices are kept for 6 years to meet HMRC and Companies Act obligations. Your name and address are frozen on an issued invoice and cannot be removed from it. That is a legal obligation on us, not a preference.

Correcting it

If something we hold is wrong — a misspelled name, an old telephone number, the wrong flat number — tell us and we will fix it. The change is recorded, with the before and after, so the correction itself is auditable.

Taking it with you

The machine-readable file in the access pack is your data in a portable form. Ask for it and it is yours to hand to anyone you like.

Stopping marketing

Every marketing message carries a one-click unsubscribe, and we honour a text-message opt-out at the moment of sending, not the next day. You can also object at any time by email. Objecting to marketing does not affect the messages we must send about a job you have booked — the confirmation, the reminder and the invoice.

How this site is built to hold less

  • The marketing tick-box is unticked, and it is separate from the terms box. Consent bundled into something else is not consent, so we do not bundle it. You can book without ever ticking it.
  • There is no cookie banner, because there is nothing to consent to. The only cookies we set are strictly necessary ones, which the law does not require consent for. We set no advertising and no cross-site tracking cookies at all. Each cookie is named on our cookie policy.
  • Our analytics never stores your IP address. It stores a salted hash instead, and the salt is regenerated every night, so the same visitor cannot be followed from one day to the next. There is no third-party analytics script on this site.
  • Your data stays in the UK. The server is in London and the backups go to UK or EU storage.

Who else touches your data

We use a small number of suppliers to run the service. They act on our instructions only, under a contract, and none of them may use your data for their own purposes:

  • Hosting — our server is in London, and your data sits on that disk.
  • Network and denial-of-service protection in front of the site.
  • An email delivery provider, which handles your confirmation, reminder and invoice emails.
  • A text-message delivery provider, which handles the arrival-window text on the day.

Where a supplier processes personal data outside the UK, we rely on the UK international data transfer agreement, or the addendum to the standard contractual clauses, to protect it. We do not sell your data, and we do not share it for anyone else’s marketing.

If you are unhappy with how we have handled your data

Tell us first at info@fastfixappliances.co.uk — it is usually the fastest way to get it put right. If you are not satisfied with our answer, you have the right to complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk/make-a-complaint. Complaining to us first is not a condition of complaining to them.
